Nobody outside your business should have to make an account to answer a question. Every one of these is a plain web address that works on a phone, and every one can be withdrawn the moment it has done its job.
The client portal
One page per client per job: the documents you share, their selections, variations to approve, claims with the PDF, photos from site and a thread to message you. Nothing on it you did not put there, and never your cost or your margin.
Variations
The client reads it, approves it by typing their name, and sees your bank details to pay you. The name, the time and their device's address are stored as the signature.
Colour selections
They pick their own products from your schedule, on their phone, standing in the room — with prices shown or hidden, as you choose.
Defect notices
The trade sees each defect with its photo and tells you it is fixed, or disputes it. Nothing they do closes anything — that stays yours.
Call-up confirmations
A subcontractor confirms or declines the date without ringing anyone, and the gap between sent and confirmed stops being invisible.
Every one of these is revocable, expires when you say so, and shows you when it was first opened — so you know whether a link landed before you ring to chase it.
