Site register
Who is on site, and who was
Why this one matters
The sign-in book at the gate is the record you are meant to keep, and the one nobody can read. Half the names are a scrawl, the times are guesses, and the induction forms are in a folder in somebody's ute.
It matters on the day something goes wrong: an incident, an inspector, a fire drill. That is when you need to show who was on site, that they were inducted, and that they heard the toolbox talk — not hope the clipboard says so.
What you will see
- A QR poster at the site entry, scanned with the phone camera, with no app to install
- Who is on site now, by company, and who was, day by day
- Each worker's White Card and driver's licence photo, checked against their name
- The signed induction record as a PDF
- The day's toolbox talk, read and signed before anyone is signed in
- The site plan and safe work method statements open to workers while they are signed in
What was said
The narration, word for word, for anyone who would rather read it than watch it — or who is on a train.
The Site Register is the sign-in book for your sites, on the workers' own phones. This page lists your registers, with how many workers and visitors are on each site right now.
To start one, press Start a site register, find the job and start it. Each register gets its own QR code, and a Site Documents folder in the job's documents.
Print the QR poster and put it up at the site entry. Workers and visitors scan it with the phone camera. There is no app to install. Make a new QR code, and the old poster stops working straight away.
Open a register to see who is on site now, by company, with when they signed in, the toolbox talk and where they were. Sign out anyone who forgot, or they are signed out at the end of the day.
History shows who was on site, day by day, for any dates. Filter by name or company. Nothing is ever deleted.
Workers lists everyone inducted on this site, when they were last there, and whether their name has been checked.
Each induction has a photo of the worker's White Card and driver's licence. Check the names match, and press The names match. Only people with the ID photos permission can see them.
Induction opens the full record, with the wording they agreed to and their signature, ready as a PDF. Take away stops a worker signing in here until they are inducted again.
Set the toolbox talk for a day. Every worker signing in that day reads it, ticks and signs before they are signed in, and you see who accepted it.
Site documents are open to workers while they are signed in: the site plan, the safe work method statements, the emergency plan. Share files from the job's documents, or upload new ones. Nothing is stored twice.
In Settings, switch the register on or off, set the end-of-day sign-out time, mark where the site is, and change the induction wording for this site.
Site Register. Who is on site, and who was, with the inductions kept on the job.
Doing it, rather than watching it
This page is the tour. When you are in SmarteBuild with a job open and need the detail — every option, every exception, the things the video had no time for — the help centre has the full article.
